2Prerequisites
Before you begin, make sure you have the following:

3Partner Registration
Creating your partner account takes under 2 minutes.
- Visit
xpressmanage365.comand click Become a Partner. - Complete the 3-step registration wizard:
- Step 1 · Your Account — Full name, work email, password.
- Step 2 · Your Company — Company name, contact person, support email, support phone, business address, country (determines currency: India → INR + 18% GST Others → USD), GST number if India.
- Step 3 · Your Brand — Upload logo (PNG), pick your brand tagline (optional).
- Accept the Terms of Service and Privacy Policy.
- Click Create Account. Your login ID is your work email.
4Your Partner Dashboard
This is where you'll start every day. The Partner Dashboard is the control surface for your entire customer portfolio — and it refreshes itself every 60 seconds.
Reading your KPI cards
The four cards across the top answer the question "is anything wrong right now?" in about three seconds.

The tenant list
Below the KPIs sits every customer you manage. Each row gives you:
- Tenant name — your customer's company.
- Consent status — Approved means data is flowing; Pending means you're waiting on their admin.
- Plan & branding — which report variant that customer receives.
- Report day — the day of the month their report is generated.
- Next report date — when the next one is scheduled to go out.
- Reports delivered / remaining — how much of their subscription has been consumed.
- Quick actions — view tenant intelligence, or resend the consent URL if still pending.

5Tenant Intelligence Center
Everything about one customer, on one screen, pulled live from Microsoft — without signing into their tenant.
When a customer calls and asks "how are we doing on security?" or "do we have spare licences?", this is the page you open. Data is fetched live at the moment you load it, so what you see is what Microsoft is reporting right now.

How to use it
- From the Partner Dashboard, click View on any approved tenant — or open Tenant Intelligence from the top navigation and pick a customer.
- Wait a few moments while live data is retrieved from Microsoft Graph.
- Review the security, licence and adoption panels.
- Use what you find to drive the conversation — see section 8 for how to turn these numbers into revenue.
6License Scorecard
Every Microsoft licence, across every customer you manage, in one cross-portfolio view.
Most partners have no single place that answers "how many Business Premium seats do I manage in total?" The License Scorecard does — and it does it across your whole book of business, not one tenant at a time.
What it gives you
- Portfolio totals per SKU — how many of each Microsoft licence you manage in aggregate.
- Assigned vs. purchased — the gap between what your customers pay for and what they actually use.
- Per-tenant breakdown — drill into which customer holds which licences.
- Friendly SKU names — readable product names rather than Microsoft's internal codes.
- Clean data — free and promotional SKUs are filtered out, so counts reconcile with what you see in Microsoft Lighthouse.
- Export to CSV or PDF — for your own reporting, QBR packs or internal reviews.
7Renewals Tracker
Never lose a Microsoft renewal to a missed date again.
Renewals are the quietest source of lost revenue in a partner business. A subscription lapses, the customer auto-renews direct with Microsoft or drifts to another partner, and nobody notices until the next invoice looks smaller. The Renewals Tracker makes every upcoming renewal across every customer impossible to miss.
Six urgency buckets
Every subscription is automatically sorted into a bucket, and rows are highlighted by urgency so the ones that matter jump off the page:
What each row shows
- Tenant — which customer the subscription belongs to.
- Subscription — readable product name, with badges for Premium and Trial subscriptions.
- Seats — how many licences are on that subscription.
- Renewal date — when it expires.
- Days left — a colour-coded badge counting down.
The table is fully searchable and sortable, and exports to CSV so you can drop it straight into a pipeline review or a sales meeting.

Building a QBR in ten minutes
A quarterly business review used to mean a day of data gathering. With the platform, the pack assembles itself:
- Open the customer's Tenant Intelligence Center — screenshot the 90-day Secure Score trend. That's your "progress" slide.
- Export their licence position from the License Scorecard. That's your "cost efficiency" slide.
- Filter the Renewals Tracker to that customer. That's your "what's coming up" slide.
- Attach their last three monthly reports. That's your evidence of continuous value.
- Lead with the recommendations from the Intelligence Center. That's your proposal.
9Adding Tenants (Customers)
You can add tenants two ways: Free Trial to explore, or Add Tenant for live customers.
Path A — Free trial tenant
- Dashboard → Free Trial.
- Enter Tenant Name, Tenant ID (your customer's Microsoft 365 tenant GUID), Report Day and Report Delivery Emails.
- Select your report variant.
- Click Add Trial Tenant. Your consent URL is emailed to you immediately — no payment, no card.
entra.microsoft.com → Overview. The Tenant ID is the GUID shown on the overview page, for example 7849ac31-07b9-48f8-91e1-d0c5f7a3d828.
Path B — Paid tenant (cart model)
- Dashboard → Add Tenant.
- Enter the details for each customer:
- Tenant Name — customer company name.
- Tenant ID — Microsoft 365 tenant GUID.
- Plan Variant — PRO Co-branded or PRO White-labelled.
- Tenant Size — Growth / Medium / Large / Mega, based on their Microsoft 365 seat count.
- Billing Period — Quarterly or Annual (annual carries a discount).
- Report Day — any day from 1 to 28 for monthly report delivery.
- Report Delivery Emails — who at the customer receives the report.
- Add multiple tenants to the cart — each can have its own plan, tier and billing period.
- Click Proceed to Pay and complete payment through Razorpay.

Tenant size tiers
Pricing scales with your customer's Microsoft 365 seat count, so small customers stay affordable and large ones are priced fairly:

• India → INR with 18% GST, and a GST-compliant invoice carrying your GSTIN
• All other countries → USD, no GST

11Payment Process
Xpress Manage365 uses Razorpay — a PCI-DSS Level 1 certified payment gateway.
- Add one or more tenants to your cart on the Add Tenant page.
- Review the total (INR or USD as applicable) and click Proceed to Pay.
- Razorpay checkout opens — pay by credit card, debit card, UPI, net banking or wallet.
- On successful payment, tenant records are created and consent URLs are emailed to you within seconds.
- Your tax invoice is emailed to you and is available in the Invoices section of your dashboard.
12Consent URL Process
Consent is how your customer authorises Xpress Manage365 to securely read their Microsoft 365 data. Nothing works until this is done.
How it works
- After payment, you receive an email containing a unique Consent URL for each tenant.
- Forward that email to your customer's Global Administrator.
- They click the link and a Microsoft admin consent prompt opens.
- They review the three read-only permissions and click Accept.
- The platform detects the approval automatically, within about an hour.
- The tenant's consent status flips to Approved on your dashboard, and all dashboards begin populating with that customer's live data.
Permissions requested — 100% read-only
No write, delete or send permissions are ever requested. Xpress Manage365 cannot modify anything in your customer's tenant, and cannot read the contents of anyone's email, files or chats.

13Verifying Consent Inside Your Customer's Tenant
If you or your customer want to confirm the app is correctly registered, here's the 60-second check.
Method A — Entra admin center (most reliable)
- Your customer's Global Admin signs in to entra.microsoft.com.
- Go to Entra ID → Enterprise apps → All applications.
- Search for
Manage365, or the Application ID41788293-c393-492b-9f89-05ab9f33bd5a. - The publisher shows as Xpress Computers Limited (Verified).
- Open the app → Security → Permissions → Admin consent — you should see the three read-only permissions.
Method B — Audit log
Entra ID → Monitoring → Audit logs, filter Activity = "Consent to application". This gives definitive proof of when consent was granted and by whom.
Method C — Behavioural check from your dashboard
- Consent status flips from Pending to Approved within roughly an hour.
- Tenant Intelligence and License Scorecard start returning data for that customer.
- The first report is emailed within 6–10 hours of consent.
Common failure modes

14Automated Reports
Once consent is approved, reporting runs itself. You never touch it again.
Delivery schedule
- First report — delivered within 6–10 hours of consent approval.
- Subsequent reports — generated automatically on your chosen report day, every month.
- Recipients — sent to the delivery addresses you specified, with you copied so you always know what your customer received.
- Tracking — reports delivered and reports remaining are shown per tenant on your dashboard.

16Managing Your Account
Change password
Dashboard → Change Password → enter your current and new password → Update Password.
Forgot password
Login page → Forgot Password? → enter your registered email. A temporary password is emailed to you — log in and change it immediately.
Update your branding
To change your logo or brand colours on already-live reports, contact support@xpressmanage365.com. Self-service branding updates are on the roadmap.
Renewals of your own subscription
You'll receive automatic reminder emails as each tenant subscription approaches its end date, with a direct renewal link. Renewing keeps report delivery and dashboard access uninterrupted for that customer.
Cancel or change a subscription
Per-tenant cancellation and plan changes are available on request through the Helpdesk. Self-service cancellation is planned for a future release.
Invoices & billing
- Every payment generates a tax invoice automatically.
- India partners receive a GST-compliant invoice showing your GSTIN and 18% GST.
- International partners receive a USD invoice with no GST.
- All invoices are available in the Invoices section of your dashboard as secure view-only PDF links.
